Application and budget

Applications are submitted through RJ's application system. Familiarise yourself with the application form while reading the instructions below.

The application process has two rounds. Projects selected for closer review submit a more detailed application in the second round. The application must contain the following parts for the relevant rounds:

First round

In the first application round, the project leader must inform the head of department or equivalent about the application for RJ funding.

Summary

Write the summary in Swedish and English. The summary may contain up to 1,500 characters including spaces and should explain why the project is important, its purpose and how it will be implemented. Formulate the summary so that a layperson can understand it. If the application is approved, the summary will be posted immediately on RJ’s website.

Project description

Write the project description in English. The description may contain up to 19,200 characters including spaces. Include the following:

  • The purpose
  • The method
  • A timeline for the infrastructure, including preparations, construction, installation, development, operation and decommissioning, In the timetline, clearly state the sub-goals and results and the division of responsibilities and work required for each sub-goal, respectively.
  • The relation to other existing infrastructures within the same/adjacent areas, if such exist, and the coordination between these
  • The infrastructural needs from the viewpoint of the research community
  • How the infrastructure will be made available to researchers (e.g., through information initiatives and user support)
  • The infrastructure’s user groups (existing and expected new groups)
  • The relevant skills and qualifications of the project participants
  • The current employment situation of all project participants
  • Agreements and collaborations with the relevant parties
  • A risk analysis and description of what measures can be taken to reduce identified risks.

Budget

  • Name all project participants. List them as project participants with their monthly salaries, employer’s social-insurance contribution top-up (LKP) and working time in the project.
  • Specify SEK 0 as the monthly salary of project participants who will not be paid in the project.
  • Report working time, salary costs and LKP for any other staff, such as assistants and technical staff, under Operating costs. Do not name them.
  • List costs for the data management described in the data management plan. These costs are to be listed under Operating costs.
  • Specify and explain all resource needs (salaries and operating costs).
  • Do not list any indirect costs or university-wide fees (e.g., IT, premises and administration) in the application.
  • RJ adds an additional amount to each grant for indirect costs and costs of premises based on RJ’s own model for determining such costs. This also includes costs arising at other research units, both in Sweden and abroad. For projects within this support form, indirect costs and premises costs are paid for named staff who have PhDs and receive salaries in the project.

Budget specification

Write the budget specification in Swedish or English. Specify and explain all budgeted costs. Unspecified or unexplained expenses will not be approved. Specify any co-funding from the grant administrator.

Data management plan

Attach a data management plan to both the first and second round of applications. Use the national template for data management plans developed by the Swedish Research Council (or equivalent). Write the data management plan in English. Clearly state the project’s RJ reference number, project title and the project leader’s name on the first page of the data management plan.

Second round

Write the project description for the second round application in English. The description may have up to 64,000 characters including spaces and is to include the same points as the first round application but in more detail.

Also include a data management plan in the second round, following the same instructions as in the first round. If necessary, update the data management plan for the second round. RJ allows only minor corrections to the budget between the first and second application rounds.

The grant administrator must approve the application in the second round and the project leader and head of department or equivalent must sign the application. Mail the pages with the budget and signatures to RJ, or email these to the responsible research manager no later than one week after the deadline. RJ will process only signed applications.
